Code of Ethics for Computer Usage

I acknowledge that I am a computer user at Midlands State University and as part of my duties I have use of and access to computer facilities. I therefore agree to the following Code of Ethics in relation to my usage of computers:

I understand that my username and password grant me certain rights and access levels on the Network, and that I am responsible to maintain their security and will not endeavor to exceed or bypass them.

I shall keep my allocated password confidential and understand that if I make my password known to any other person/s I shall be held liable for any transactions conducted by the user of my password.

I understand that I have the right to have the System Administrator change my password at any time and that on initial granting of username and password I am to change my password immediately and thereafter at least once every thirty (30) days.

I shall take responsibility for the computer(s) that I have logged into using my username and password and will therefore log out whenever I leave the computer unattended. I will not use other users’ credentials.

I shall shutdown and switch off my computer properly at the end of each working day prior to leaving Midlands State University premises. Should I not do so Midlands State University retain the right to call me back to the office at any time to shut down and switch off my computer, and I agree to adhere to this request.

I will at no time ever load unauthorized software on any organization computer, including games or software downloaded from the Internet, and understand that it is Midlands State University policy to use only licensed, legitimate software. I will therefore only access the software I am granted access to by the Systems Administrator. I will not make any copies of Midlands State University software for myself or any third party.

Should an error message display on my computer screen I will immediately call the I.T Technician on duty to advise him/her of the exact wording of the error message before I escape out of the program.

Should I encounter any problems with computer hardware whilst on duty I will immediately report this to IT personnel through set means.

I acknowledge and agree that internet access is for business purposes only and that access is specifically granted on the Application Access Form and if I am not authorized on that form, I will not use the facility and if I am, I will not abuse the facility e.g. Porn Access, Hacking (sites), music and movies downloads.

I agree and acknowledge that any information produced or stored within the university’s systems, financial or otherwise in all forms of media shall be treated as confidential and under no circumstance am I to divulge this information to third parties or unauthorized persons except when duly authorized by the Head of department or like.

I also accept fully that I will be responsible for physical and other damage that I have caused on the computer systems and hardware.

I understand that by breaching these points, I may put the organization at risk, both financially and operationally, and will therefore be subject to severe disciplinary actions, ultimately termination of employment.
